Administrative Specialist
Supervisor: Head of Operations
Type: Full time, hourly, non-exempt
Compensation: $22-25/hour dependent on experience plus PTO and health insurance stipend
Location: 100% remote (candidates living in the Southern California area preferred but not required)

We’re looking for a full time Administrative Specialist to add to our small but dedicated team. A successful candidate will be self-motivated, highly-organized, flexible, collaborative, and a master multi-tasker with good judgment and an unwavering attention to detail. Most importantly, they will have a genuine desire to meet the needs of others. This role is perfect for someone who thrives in a fast-paced environment, likes to take on new projects, and views challenges as fun puzzles to be solved.

Responsibilities
Maintain high volume, complex calendars for a team of WIA staff and executive-level volunteers, including scheduling internal and external meetings with multiple parties across multiple time zones
Handle typical office tasks, such as taking meeting notes, setting up for virtual meetings, ordering supplies, and coordinating travel arrangements
In collaboration with the Head of Operations, develop, review, and improve administrative and technological systems, policies, and procedures
Assist with donor and member support, including maintaining the donor database, processing accurate and timely gift acknowledgment letters, pulling donor reports, and coordinating membership renewals
Screen and manage the main WIA email inbox, responding to messages directly or directing them to the appropriate person
Work collaboratively and proactively with staff and Board members to help solve administrative issues
Maintain professional communication via phone, e-mail, and mail
Develop and execute special projects as needed
Other duties as assigned
Skills and experience
Strong written and verbal communication skills with great judgment
Highly organized
Team-player and proactive problem-solver
Ability to work well under pressure and perform daily duties with minimal supervision
Detail-oriented while maintaining an eye towards the bigger picture
Comfortable handling multiple requests from different individuals and departments and adjusting as needed
Ability to be discreet, use good judgment and maintain confidential information
High level of comfort in learning and using new technologies
Ability to work quickly and in a potentially high-stress environment
Proficiency in Google Suite and Zoom required
Proficiency in tools including AirTable and Basecamp or Asana preferred
Associate’s Degree and 1-2 years of prior experience or Bachelor’s Degree
Salary
$45,500 - $52,000
