Senior Program Manager

About the Position

We are seeking a Senior Operations Manager to ensure the successful delivery of our support services, and continue expanding our reach. This role will be the main point person to oversee all volunteers and staff operations. A successful candidate will be adaptable, project-management oriented, customer-service oriented, and have a positive/can-do attitude. This position will be paid on an hourly basis, with some benefits, and the schedule is flexible. Applicants from the Chicago area are preferred.

Senior Program Manager Job Description

Reports to: Executive Director

Program Management (70%):

  • Recovery Mentorship program: Supervise and manage all aspects of the Recovery Mentorship onboarding process; address issues between mentors and mentees. 

  • Support Group program: Supervise the Support Group Coordinator, who manages all aspects of the support group leader onboarding process and stays in touch with leaders to address any concerns. 

  • Online engagement platform for volunteers: Monitor usage; work with other staff to promote relevant, timely content.

  • Helpline program: As needed, answer ANAD Helpline calls with knowledgeable insight about current treatment options, provide follow up to every caller, if requested, through email; provide mentorship to program assistant who conducts referral research.

  • Volunteer recruitment: Collaborate with partners and other organizations to recruit volunteers for all programs.

  • Evaluation: Monitor survey information, call volume, and other metrics to track efficacy of each service, identify areas of growth and provide compelling data for promotion, fundraising, connection and social media efforts 

External engagement (15%):

  • Make updates to the website as needed, collaborating with ANAD Web Manager to troubleshoot infrastructural issues when necessary; follow up with annual renewals from all professionals in the treatment directory; supervise program assistant’s creation of new directory listings; oversee ANAD online store operations. 

  • Contribute ideas/content to monthly newsletters.

  • Track partnership metrics including site traffic and referrals.

  • Ensure smooth operations of donor management system

Team participation (15%):

  • Assist as needed in meeting planning, conference planning, webinar planning, and any other logistics.

  • Assist with building new support services, fundraising efforts, and events.

  • Participate in all fundraising efforts.

  • Complete other duties as needed.

Skills necessary to succeed in this role:

  • Belief in ANAD’s mission and core values

  • Bachelor's degree at minimum

  • Demonstrated project management experience

  • Supervisory experience

  • Virtual experience (conferences, webinars, evaluation, etc.) 

  • Strong problem-solving skills

  • Strong customer service focus towards those ANAD serves, volunteers, and other staff

  • Willingness to learn and follow current protocol for volunteer support service coordination and Helpline coverage; identify and implement improvements 

  • Strong follow-through and attention to detail

  • Able to succinctly and effectively report status of support services 

  • Discretion in knowing when to escalate certain issues, email inquiries, etc.,

  • Willingness to take on other projects and tasks as needed

  • Flexibility and agreeability in responding to a fast-paced environment
