Events Associate
Description: The Events Associate coordinates external in-person and digital events for the Animal Legal Defense Fund (ALDF) in support of our goal to provide public education in the field of animal law through conferences, webinars, workshops and other outreach opportunities. The Events Associate also organizes and manages ALDF’s internal in-person and digital events in order to facilitate continuing education and job development experiences for our staff as well as to ensure appropriate strategic planning and in-person meeting opportunities for the organization’s Leadership Team and Board of Directors. The Events Associate works closely with the Events Manager, Project Manager and Program Director, to ensure all of the events we produce and participate in follow our internal event protocols and are coordinated on time, on budget and to the highest standard.

Location: Cotati, CA or Remote
Essential Responsibilities:
Project Management (75%):
The Events Associate will identify, organize and manage key event details for ALDF’s external and internal events, including:
Developing and maintaining event production schedules;
Researching potential venues and negotiating rates;
Organizing vendor quotes;
Developing, tracking and reporting on event budgets;
Coordinating event menus and audiovisual needs;
Ensuring insurance requirements and vendor deadlines are met;
Maintaining registration lists and responding to attendee inquiries;
Organizing speaker submissions;
Submitting applications and reports for continuing legal education (CLE) requirements;
Ordering and organizing event supplies;
Managing post-event follow-up;
Other logistical tasks, as required.
Communications & Promotions (15%):
The Events Associate will produce and distribute important information about ALDF’s events to staff and the public by:
Communicating key event details to staff members and producing planning memos, as required;
Writing invitation copy and creating content to promote events;
Building and maintaining online registration platforms, event apps and digital event platforms;
Managing ALDF’s internal events calendar and periodically reporting upcoming events to staff and board members.
Program Development (5%):
Managing ALDF’s approved events list and reporting updates to appropriate parties;
Identifying and registering ALDF for exhibitor opportunities that support and promote ALDF’s mission.
On-Site Event Management (5%):
Providing on-site support for ALDF’s large, annual events, as needed;
Providing online support for ALDF’s digital events, as needed;
Managing staff and volunteer roles and schedules at events;
Creating registration materials and event packets;
Other duties as assigned by the Events Manager.
Key Qualifications:
The ideal candidate will:
Understand and be fully committed to the mission of the Animal Legal Defense Fund;
Have minimum 4 years’ experience in event planning or similar position;
Have intermediate to advanced experience with in-person and digital event planning and project management fundamentals;
Be able to work independently and be a skilled problem-solver;
Be able to think strategically and juggle multiple tasks and deadlines while maintaining composure;
Be a skilled writer with strong attention to detail;
Have excellent organizational and prioritization skills;
Have excellent interpersonal skills and be able to communicate effectively with colleagues, vendors, and the public;
Be “computer literate” with working knowledge of common computer applications including Outlook, Word, Excel, Adobe Reader, web browsers, social media platforms, digital event platforms, etc.;
Have excellent references relevant to similar positions held;
Have a valid driver’s license and insurance.
In addition to the above qualifications:
Familiarity with project management software is a plus;
Knowledge of the key people and issues within the field of animal law is a plus;
Experience working in the nonprofit sector and specifically for an animal protection organization is a plus.
Travel:
The Events Associate must be able to periodically travel to events and internal meetings as required.
