Marketing and Program Coordinator
Summary of Duties
The Marketing and Program Coordinator is involved in managing and executing various activities of the choir, including concerts, retreats, and tours. In addition,  this position is in charge of internal communications with, and support of, Columbia Choirs singers and their families.  Finally, this role coordinates and executes marketing and outreach efforts.
Marketing Coordination
  • Execute CCA’s Marketing Plan including advertising, outreach, public relations, branding, etc.
  • Maintain the CCA website and blog keeping content current, including managing value-added content. 
  • Oversee creation and distribution of promotional and marketing materials for performances and general use within allotted budget.
  • Create and manage marketing/outreach calendar.
  • Develop and manage fund raising and membership campaigns.
  • Oversee sponsorship and grant activities.
  • Other duties as may apply.
Event Coordination
  • Concerts: Manage creation of promotional materials and publicity for concerts. Assist in planning logistics and communicating information to members.  Actively manage day-of logistics in front and back-of-house. Supervise sound and/or video recordings when applicable.
  • Youth Overnight Retreats: Budget, plan for and execute retreats. Coordinate with the venue as needed. Plan the schedule with the Conductors, create a list for and procure supplies, and attend the retreat. Recruit and train Chaperones. Communicate with chaperones and singers/parents as required.
  • Youth Tours: Budget, plan for and execute tours. Coordinate with the venue as needed. Plan the schedule with the Conductors, create a list for and procure supplies, and attend the tours. Recruit and train Chaperones. Communicate with chaperones and singers/parents as required.
  • Other duties as may apply.
Member Management & Internal Communications
  • Assist in onboarding of new members and support all singers and families with any questions and information they need.
  • Manage the procurement and distribution of Columbia Choir Association (CCA) t-shirts, music bags, and accessories. Oversee fitting process of formal uniforms for Choirs.
  • Manage established membership systems such as Membership database, online payment collection, event registration, collection of forms, Office 365 internal site, and future systems. Provide basic troubleshooting for these systems.
  • Recruit and manage volunteers in all aspects of the organization including fundraising, special activities, concerts, retreats, tours, etc.
  • Manage music library and storage (uniforms, music bags, accessories).
  • Other duties as may apply.
Qualifications
  • Experience in program administration, marketing, and related fields.
  • Prefer experience in working or volunteering for a non-profit organization.
  • Organized communicator; methodical and diligent in tracking responsibilities; pays great attention to details.
  • Strong writing skills including press releases, web and social media communication, and communication to members, families, donors, sponsors and others.
  • Familiarity with business communication through social media sites such as Facebook, Instagram, etc.
  • Excellent interpersonal and customer service skills with an ability to create and sustain longstanding relationships.
  • Good time management and an ability to deal with varying loads of work.
  • Flexibility and a willingness to take on various tasks as needed.
  • Comfortable with technology and ability to quickly to learn new tools.  HTML knowledge a plus, but not required.
  • Ability to work with minimal supervision.
Special Requirements
  • At this time, the position requires a minimal level of physical abilities (mainly lifting boxes/bins). There is minimal travel involved, but this aspect might develop at a later stage.
  • Some weekends and evening work will be required.
