Administrative Assistant (Remote)
AALHE (Association for the Assessment of Learning in Higher Education) seeks an Administrative Assistant to support the Executive Director in a multi-program, nonprofit organization.
Tasks include basic bookkeeping, event support, database management and general office support. Strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities are essential. The Administrative Assistant will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Travel is required for one week each June to assist with our annual conference.
Schedule:
This a remote non-exempt 20 hour per week position, Monday through Friday during daytime hours. One week in June will require travel and 40 hours of support.
Hours per week may increase in the future; could potentially become a full-time role for the right person.
Essential Functions:
  • Research, compile, assimilate, and prepare confidential and sensitive documents in various formats
  • Read and screen incoming correspondence and reports
  • Support organizational committees and task forces
  • Perform related work as assigned
  • Provide professional remote service to stakeholders: Board, volunteers, members and nonmembers, sponsors, etc.
  • Assist with annual conference in June (below)
Annual conference support:
  • Prepare conference materials
  • Create conference flyers (i.e., announcement of CFP, plenary speakers)
  • Assist in draft of program
  • Print out name badges and sign-in sheets
  • Serving as Registration Desk Manager
  • Assist in set-up and take-down (lift 25lbs)
  • Manage the registration desk (e.g., sign-in, on-site registration and payments)
  • Attend to inquiries and requests
Knowledge/Skills/Abilities:
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal and customer service skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
  • Expert level written and verbal communication skills.
  • Ability to effectively manage and track multiple projects simultaneously, prioritize, work well under pressure with a high degree of accuracy, and meet stringent and overlapping deadlines.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
  • Demonstrated proficiency with spreadsheets, databases, and word processing. Familiarity with QuickBooks a plus.
  • Additional tasks as assigned by the Executive Director.
Qualifications:
Minimum three years related experience; nonprofit experience a plus. College degree preferred but not required.
